4 Considerations for Your EDI Platform

If you are considering EDI for the first time or need to update your current approach, there are a few key factors to keep in mind during the selection process. While the importance of each may vary depending on your specific needs, these considerations will help you focus your research and guide your discussions with potential providers.

PLATFORM TECHNICAL CAPABILITIES

When evaluating technical capabilities, start by assessing the basic EDI transactions you need to handle with customers, vendors, or 3PLs. If you're using standard connectivity methods like (S)FTP, AS2, or a VAN, most platforms should be able to meet your requirements. However, file format considerations and the ability to handle any-to-any integrations will narrow your choices. Look for a platform that can handle all EDI standards, and offers easy integration with your backend ERP, automation, and scheduling tools. If you have more complex mapping and business rule requirements or need to route documents to multiple destinations, look for platforms that can accommodate these needs. You may also want to consider the rising popularity of APIs, and whether you'll need this functionality in the future.

IT USABILITY AND EASE OF MAINTENANCE

If you're considering an on-prem or private cloud solution, factor in the time and effort required from your IT department to set up and maintain the solution. Will you need periodic updates or extensive configuration to ensure connectivity? Consider how much internal effort is required for implementation or a future migration/upgrade. For a cloud-managed service solution, seek a provider that handles setup and maintenance on your behalf. To get the most value from your managed service, you should aim to minimize the in-house effort required.

DAY-TO-DAY SUPPORT

If you plan to have an internal team support an on-prem system, consider the learning curve. Do they already know EDI and just need to learn the new tool, or will you need to train from scratch? Identify training sources and assess monitoring tools' user-friendliness. If you prefer to outsource day-to-day support, look for a managed service but be mindful of additional costs.

IMPLEMENTATION COSTS

In addition to installation and maintenance, there are implementation costs associated with setting up each trading partner. Costs can range from $0 to thousands of dollars, and can quickly add up if you expect to have multiple partners. If internal resources handle implementation, costs can be more manageable. Many companies recognize the challenges of in-house EDI system upkeep, training, and resource retention, making outsourced solutions more attractive.
