New Gold Moves New Hire Paperwork Online with SuccessFactors Onboarding
April 22, 2021 | by Jodi Abrams

After a year on SAP SuccessFactors Recruiting, New Gold Inc. partnered with CONTAX to implement SAP SuccessFactors Onboarding. New hires now complete their paperwork online in an onboarding portal, from the offer letter through to tax forms and training requirements, and workflow alerts keep HR and other departments informed at every stage.
At a Glance
The Customer
New Gold Inc. is a Canadian-focused gold mining company with two producing assets in Canada. Its vision is to build a leading gold company that is committed to the environment and social responsibility. With several mine sites, New Gold brings on a constant stream of new hires.
The Challenge
Onboarding at New Gold was time consuming and involved many manual touches. For every new hire, the HR team had to track where they were in the process, send out documentation and collect information, and much of that information was then keyed in by hand.
New Gold needed to automate as many of these steps as possible and shorten the time it took to onboard a new hire. It wanted to push information out to recruits easily and collect their information without manual data entry.
The Solution
New Gold had been using SAP SuccessFactors Recruiting for a year, so Onboarding was the logical next step. Working with CONTAX, it implemented SAP SuccessFactors Onboarding to get a simpler, more streamlined process that covers every step from the offer letter through to tax forms and training requirements.
Paperwork online
New hires complete tax documents, sign forms and policies and verify their personal information online. The information transfers into SAP automatically where applicable.
Differences by site
HR can keep site-specific steps, such as different tax documents for different locations or different safety training.
Workflow alerts
Automated alerts go to the right people at each stage, for example telling HR the paperwork is complete or telling the new hire a form is ready.
Information to the right teams
Collected information goes to the departments that need it, such as the PPE size a new hire selected so it is ready on their first day. It can also be sent to outside parties.
Onboarding portal
New hires see their onboarding process, read additional documentation and schedule meetings with HR in one portal.
The Results
- A smooth onboarding process for new hires, with information shared through the onboarding portal
- Paperwork completed online by the new hire instead of collected and keyed in by HR
- New hire information transferred into SAP automatically where applicable
- Site-specific forms and training kept within one process
- Less manual work for the HR team, giving it more capacity for culture and operations
"With SuccessFactors Onboarding, we now have another tool to use to ease the manual burden on our HR team, allowing our Human Resources professionals more capacity to make meaningful impact on our culture and operations. With CONTAX's help, we are looking forward to seeing what else we can provide to our workforce in SuccessFactors."
