Why SAP Business One Customers Should Consider Moving to Acumatica

October 31, 2026  |  by Michael Pearson

SAP Business One has served small and midsized companies for more than two decades. It's a capable ERP, and many businesses have run on it reliably for years. Plenty of them chose it when they were a much smaller company, and have grown several times over since.

We've received a lot of interest from SAP Business One customers recently, looking to upgrade and modernize their business applications and processes. Teams now work from anywhere, customers and retailers expect faster answers, and nobody wants to plan an upgrade project every few years just to stay current. If you're running Business One today, it's worth asking whether it's still the best fit for where your business is going, and Acumatica Cloud ERP is one of the strongest options to look at.

Where SAP Business One Stands Today

SAP Business One 10.0 was released in 2020. SAP has kept it current since then with feature packs, and it remains in mainstream maintenance until December 31, 2028, according to SAP's maintenance schedule. A Version 11 is planned to follow, with partners expecting it in 2027.

A few things are worth knowing as you plan ahead:

  • It's still a Windows application at heart. SAP has added a browser-based Web Client, and it covers more with each release. But some tasks still require the Windows desktop client, and add-ons built for the desktop client don't run in the Web Client.
  • Cloud means hosted, not SaaS. Business One runs on your own servers or is hosted by a partner. It isn't a subscription service that the vendor runs and updates for you.
  • Add-ons fill the gaps. Many Business One companies rely on add-ons for things like EDI, warehouse barcode scanning, more advanced manufacturing or multi-company consolidation. Each one is another product to license, support and test at every upgrade.
  • Upgrades are projects. Moving to a new version or feature pack is something you and your partner plan, test and schedule, including every add-on.
  • SAP's cloud focus is elsewhere. SAP's own cloud ERP for growing companies is SAP S/4HANA Cloud, Public Edition. For some businesses that's the right next step. For many Business One customers, it's more than they need.

None of this means Business One will stop working. But if your next big ERP decision is coming up, it makes sense to compare what's available.

Why Acumatica Is Worth a Look

1. Built for the cloud and the browser from day one

Acumatica runs entirely in a web browser, on any device. There's no desktop client to install, no remote desktop and no VPN. Your team in the office, in the warehouse, at the branch counter and on the road all work in the same system, and the mobile app supports barcode scanning in the warehouse.

2. Everyone can use it, without additional licensing costs

Business One is licensed per user. Acumatica is priced by the computing resources you use, not by the number of people who use it. Sales reps, warehouse and production staff, seasonal workers and occasional approvers can all have access without buying another license every time.

3. More of what you need in one system

Acumatica's industry editions cover what many Business One companies use add-ons for today. Distributors get warehouse management with barcode scanning, multi-warehouse and multi-branch inventory, landed costs and available-to-promise on the order line. Manufacturers get production management, lot and serial traceability and a shop floor kiosk for reporting production. Multi-company and multi-currency accounting, consolidations and intercompany are built in, and a customer portal is available.

4. ERP and CRM in one database

Acumatica includes CRM in the same database as financials, inventory and sales. Your sales team sees orders, invoices and stock levels without a separate system or an integration to maintain.

5. Two releases a year, with real investment behind them

Acumatica releases new functionality twice a year. The 2026 R2 release, available since October 2026, added an AI Assistant and AI automation for everyday tasks, a built-in data warehouse so reports don't slow down daily work, and a secure way to connect AI tools such as Claude and ChatGPT to your Acumatica data, with your existing security rules applied. When Acumatica runs as SaaS, updates are handled for you.

6. Open and easy to connect

Acumatica's open APIs make it straightforward to connect eCommerce platforms such as Shopify and BigCommerce, shipping systems and other applications. If you sell to grocers and big retailers, our Arcus managed EDI service connects Acumatica to your trading partners. That's how LCG Foods exchanges EDI with Farm Boy, Whole Foods Market, Sobeys and Costco.ca.

7. A choice of where it runs

Acumatica can run as a SaaS subscription, in a private cloud or on your own servers, with subscription or perpetual licensing. You choose what fits your business today, and you can change later.

What Moving to Acumatica Looks Like

Moving from Business One to Acumatica is a well-understood project. A typical migration brings across your customers, vendors, items, chart of accounts, open orders and open balances, along with the history you need for reporting. We configure Acumatica around how you work, connect it to your trading partners and other systems, and train your team before go-live.

We've been selling and implementing Acumatica for distribution and manufacturing companies. Wayne Safety, a safety products distributor, replaced a 30-year-old system with Acumatica, and went live a month early.

Is It Time to Look?

You don't have to move tomorrow. But if any of these sound familiar, it's a good time to start the conversation:

  • Your users need remote desktop or a VPN to get into the system.
  • Adding users means buying more licenses.
  • You've added branches, warehouses, companies or currencies since you chose Business One.
  • You rely on add-ons that make every upgrade harder.
  • Your next upgrade or hardware refresh is coming up.
  • You want AI and modern reporting without a separate project to get them.

Frequently Asked Questions

Is SAP Business One being discontinued?

No. SAP Business One 10.0 is in mainstream maintenance until December 31, 2028, and SAP plans a Version 11 to follow. The question isn't whether Business One will keep running, but whether it's the right platform for your next ten years.

Does SAP Business One run in a web browser?

Partly. The SAP Business One Web Client runs in a browser and covers much of the day-to-day work, but some tasks and add-ons still require the Windows desktop client. Acumatica runs entirely in the browser.

Can we keep our history when we move to Acumatica?

Yes. We plan with you which history to bring across in detail, which to bring across as summaries, and how to keep older records available for reference.

How long does a move to Acumatica take?

It depends on your size, your processes and how many add-ons and integrations you have today. We'll give you a clear plan and timeline after an initial review.
