Dare Foods Speeds Up PO Approvals with SAP Workflow and Fiori
November 17, 2020

Dare Foods, a Canada-based food manufacturer, had no systematic approval process for indirect purchase orders. CONTAX implemented SAP PO release strategies with workflow and deployed the SAP Fiori Approve Purchase Order app, so managers who rarely use SAP can approve orders easily. Dare now gets more accurate purchase orders, better control of spend and a quicker purchasing turnaround.

The Customer
Dare Foods is a Canada-based food manufacturing company. It distributes its products in over 25 other countries.
The Challenge
Dare Foods did not have a systematic approval process for indirect purchase orders, and vendor invoices were being submitted without any reference to a purchase order. That made reconciliation and account clearing messy, and it took up large amounts of the finance team's time.
Dare wanted to fix this and control its spend with a PO approval process. Like many companies, its approvers are people who rarely use SAP, such as sales managers and department heads. So the approval process had to be simple and easy to use for infrequent SAP users who approve purchase orders often.
The Solution
Dare Foods partnered with CONTAX to use SAP Fiori, SAP's web-based user experience built on HTML5, and its Approve Purchase Order app. CONTAX proposed and implemented SAP PO release strategies with PO workflow and deployed the Fiori Approve Purchase Order app for indirect and direct purchases.
Release strategies
The release strategy controls how many levels of approval a PO needs before it can be sent to the vendor and any later steps can take place.
Kept simple
CONTAX recommends keeping the strategy as simple as possible, while making sure every purchase over a set value is approved by at least one appropriate person.
Workflow to the right approver
The release strategy determines the approver, and a workflow item is sent to that approver's inbox.
Approvals in Fiori
Approvers review and approve orders in the Fiori app, which is simple to use on a smartphone, tablet or laptop.
Secondary review
Purchase orders that do not conform are blocked for a secondary review before they go ahead.
The Results
- More accurate purchase orders, with proper quantities and prices
- Better control of unnecessary spend, and sourcing from appropriate vendors
- Easier review and approval for the management team, and a quicker turnaround in purchasing
- Simpler vendor invoice reconciliation and processing, helped by more accurate POs
"CONTAX provided an SAP solution that integrated well with our current processes. Blocking non-conforming purchase orders for a secondary review helped ensure the accuracy of our purchase orders and streamline the purchasing process."
What's Next
Dare will continue to roll out the approval process to other plants and to its direct procurement process across all plants. With a taste of what Fiori can do, other Fiori apps may follow.
